Position Title: Facility Manager

Position Summary: The Facility Manager (FM) is responsible for managing the grounds, facilities, and all buildings (15,000 sq. ft. Resource Center, 5,500 sq. ft. Hope House Residence, and future Childcare Center building scheduled to begin construction in 2023) on the 2.5 acre Hope House Colorado (HHC) campus, maintaining both the physical condition and appearance of all facilities. Responsibilities include but are not limited to: the ongoing operation of buildings and occupied environments; maintenance management including service requests and preventive equipment maintenance; warranty administration; coordination and participation in new construction and renovation/remodel projects; emergency management; and scheduling, oversight and management of vendors and volunteers who assist with property maintenance. The FM is accountable for ensuring a safe, secure, and Excellent Environment for teen moms and their children, Staff, Champions, and all visitors to the HHC campus.

Paid Time Off (PTO):

• Vacation: Upon hire, employees earn 6 hours of vacation per paycheck up to 120 hours (3 weeks) in a year. Accruals are adjusted to increase vacation earned per hours worked based on length of employment with HHC.
• Holidays: HHC observes eleven (11) holidays throughout the year. Salaried employees are paid for these holidays according to the nationally recognized observation day for each holiday. In addition, salaried employees are currently gifted either the week of Christmas or the week of New Year’s off, to be scheduled at the discretion of their supervisor.
• Sick Leave: HHC provides eligible employees with Paid Sick and Safe Leave (PSSL) and Public Health Emergency Leave (PHEL) in accordance with the requirements of Colorado's Healthy Families and Workplaces Act (HFWA). 

Requirements

• Must pass rigorous background and motor-vehicle record checks

• Requires timely response, effective communication, and management of all work order requests related to the ongoing maintenance of buildings and grounds through the computerized maintenance management system, Brightly (training provided)

• Building maintenance and/or equipment repair experience

Essential Duties/Responsibilities:

Facilities & Maintenance Coordination

• Manage all contracted maintenance and equipment vendors: build positive working relationships, schedule regular preventative maintenance appointments, ensure compliance with regulatory requirements, resolve issues that are identified; acquire bids, and recommend companies to contract with.
• Manage work requests in a timely and well documented manner, utilizing HHC-approved maintenance software. Follow up on all work requests to ensure completion and satisfaction.
• Perform quality daily inspections to ensure buildings and grounds upkeep maintains HHC Excellent Environment standards.
• Diagnose and perform minor and routine maintenance.
• Order parts and supplies as required to maintain inventory levels.
• Work with Director of Operations (DoO) to implement cost control for planned and unplanned operational expenses.
• Develop and maintain building specific maintenance schedules.
• Acts as primary “on call” point of contact for facility maintenance and emergency issues during and after normal hours of operation.
• Manage fire & security systems; retrieve security camera footage when requested by staff or Arvada PD; be mindful of suspicious activity on campus unrelated to HHC business.
• Manage HHC vehicles: ensure registrations and renewals are up to date, take vehicles for emissions testing when needed, perform minor repairs and regular maintenance, and coordinate larger repairs through vendor relationships.
• Manage, engage & appreciate Facility Team volunteers and volunteer groups aiding with facility projects.
• Coordinate facility projects such as office moves, furniture replacement and minor remodels.
• Assist in implementing safety and security recommendations; support DoO in training staff on emergency response procedures & ensuring required drills are completed; provide building security during teen mom events; and coordinate security teams for large HHC events like our annual 5K & Fun Run.
• Be a resource for our teen moms as they are working towards self-sufficiency by providing occasional car care clinics, home maintenance clinics, etc.
• Perform other tasks or special projects as required.

Custodial

• Perform basic daily and weekly custodial duties, complete cleaning tasks as needed, identify and report property issues, and coordinate volunteers who assist in this area. Ensure buildings are “tour ready” for site visits, major champion visits and open houses.
• Empty trash and recycle bins as necessary and ensure paper products are refilled.
• Ensure the commercial kitchen maintains cleanliness standards and is inspection ready at all times, including routine cleaning of the kitchen floor & ice machine.

Grounds

• Oversee landscape/snow removal vendors, and responsible to have walkways clear of snow by 7:00am when vendor is unavailable.
• Ensure irrigation system is maintained & that annual backflow testing is completed.
• Ensure that trash enclosure is clean and free of debris.
• Maintain all maintenance sheds on the campus.
• Assist with onsite lawn and plant maintenance.
• Ensure grounds are free of trash, debris, leaves, etc., on a daily basis.
